Frequently Asked Questions

How does auto-generation work?

The auto-generate feature creates a balanced schedule by assigning volunteers to positions while respecting their availability and monthly limits. It distributes assignments fairly so no one is overworked, and prioritizes volunteers who have fewer assignments.

Can I set how often each volunteer serves?

Yes! Each volunteer has a 'max per month' setting that limits how many times they can be scheduled in a single month. The auto-generator respects these limits, and you'll see a warning if someone is scheduled too often.

How do I mark a volunteer as unavailable?

Go to the Volunteers tab and scroll down to the Unavailability section. Check the boxes for any dates when a volunteer can't serve. These dates will be excluded from auto-generation and highlighted if you manually assign someone who's unavailable.

Can I schedule the same volunteer for multiple positions?

Yes, volunteers can be assigned to different positions on the same Sunday if needed. Just be mindful of their workload and ensure they're not double-booked for positions that happen at the same time.

Does this work for recurring events beyond Sundays?

This free tool is designed for Sunday services, showing all Sundays in the selected month. For scheduling volunteers across multiple days per week, midweek services, or special events, check out MosesTab's full volunteer management features.

Can I save my schedule and share it with my team?

Your schedule automatically saves to your browser so you can come back to it. To share with your team, use the Export CSV button to download a spreadsheet, or Copy as Text to paste into an email or message.
